  • Booking and payment information: Appointment details and, for paid sessions, payment information processed securely through our third-party payment processor (Stripe). We do not store your full card details.
  • Call and chat records: Written transcripts and summaries of calls to our phone line and of conversations in the chat window on our website, including those handled by our automated assistant.
  • Usage data: Information about how you interact with our website, including IP address, browser type, pages visited, and time spent on pages.
  • Cookies and tracking: We may use cookies and similar technologies to enhance your experience and analyze website traffic.

3. How We Use Your Information

  • Respond to your inquiries and provide the accounting services you request;
  • Schedule, confirm, and remind you of appointments;
  • Process payments for paid consultations;
  • Communicate with you about your engagement, including follow-ups and account updates;

  • Operate an automated assistant that answers general questions about our firm and books appointments;

4. Mobile / SMS Communications

If you provide your mobile number and opt in, you consent to receive text (SMS) messages from PalmUpLife. Two separate consents may apply: transactional messages (e.g., appointment confirmations and reminders, account updates); and marketing messages (e.g., offers and updates) — optional, and only sent if you separately opt in.

Message frequency varies. Message and data rates may apply. You can reply STOP at any time to unsubscribe, or HELP for assistance. Consent to receive messages is not a condition of purchasing any service.

We do not sell, rent, or share your mobile phone number or SMS consent with any third parties or affiliates for their own marketing or promotional purposes. Mobile opt-in information is used solely to deliver the messages you have requested from PalmUpLife.

5. Calls, Chat, and Automated Assistance

Automated assistant. Some calls to our phone line and some conversations in the chat window on our website are handled by an automated assistant rather than a person. It will tell you it is automated if you ask. The assistant answers general questions about our firm and books appointments; it does not provide tax, accounting, or eligibility advice, and it cannot access your client file. You may ask to speak with a member of our team at any time.

What we keep. We keep a written record of these calls and chats — including a transcript of what was said, any contact details you provide, and the appointment or enquiry that resulted. We use these records to respond to you, to schedule and confirm appointments, to keep an accurate record of what was discussed, and to review and improve the quality of the assistant.

Please do not share sensitive details this way. Do not provide your Social Insurance Number, full banking details, or tax documents by phone, chat, or text message. Where we need information of that kind, we will send you a secure link.

Records of calls and chats are held in our CRM and booking platform and are subject to the storage, sharing, retention, and access provisions in Sections 6, 7, and 9 of this Policy.

6. Data Sharing and Disclosure

We do not sell, trade, or rent your personal information. We may share your information with trusted service providers who help us operate our business (such as our CRM platform, scheduling tools, and payment processor), provided they are bound to keep your information confidential and use it only to provide services to us. We may also disclose information if required by law, regulation, court order, or to protect our rights, safety, or property. Mobile/SMS opt-in data is never shared for third-party marketing (see Section 4).

Storage and processing outside Canada: Some of our service providers — including our CRM and booking platform and our payment processor (Stripe) — store and process information on servers located in the United States. Information held outside Canada is subject to the laws of that jurisdiction and may be accessible to its courts, law enforcement, and regulatory authorities. We remain accountable for your personal information while it is in the care of these providers, and we require that they protect it with safeguards comparable to our own.

7. Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes described in this Policy and to meet our legal, regulatory, and professional record-keeping obligations. Client and financial records may be retained for the periods required under applicable tax and accounting rules.

Given the sensitive nature of financial information, we take care in how documents are collected and stored. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
